Project Design & Proposal Writing

Strong proposals win funds, so long as they offer a clear solution to a problem in a community, region, or country.

Setting a clear goal, ensuring that your objectives are SMART, and outlining the activities which will lead to achieving this goal, are an important first step. Equally important is aligning the proposed solution with donor priorities and requirements.

We can support you in the preparation of the entire proposal package including the narrative, budget, results framework, and other components.

Our proposal writers have so far worked with the following donors: BHA, BMZ, KfW, PRM, USAID, PM/WRA, FCDO, C, ECHO, UNHCR, OCHA, UNICEF, SDC, CDC, SIDA, CIDA, NORAD / MFA, AFD, The World Bank, IOM, the Gates Foundation, START, GAC, Irish Aid, DANIDA, GGP, OAK Foundation, various Ministries, and Embassies.

What we offer

Our specialists will design and deliver an independent and targeted needs assessment in target communities, which will help determine priorities and gaps, inform funding decisions, guide towards the best use of funds, and ensure that humanitarian assistance is delivered in a timely and efficient manner. The assessments are carried out in accordance with the European and international standards, and using internationally recognised indices. We will also carry out a detailed context, or situational analysis to better understand the social, economic, political, cultural, and other internal and external factors which will influence the project design and outcomes.

Project ideation,
Problem Tree &
Theory of Change

Our programme design specialists will work with your team to brainstorm ideas for a new project or programme. This is usually done through highly participatory, inclusive and collaborative sessions, where our specialists act as facilitators. We follow a design thinking approach where ideas are generated and filtered down until the most viable and innovative solution is found. We will define the problem at the core, its causes and effects, and work together to develop a comprehensive Theory of Change that clearly depicts the proposed solution and how it will address the problem at output, outcome and impact level.

With a Theory of Change at hand, we will work with you and your team to develop a detailed logical framework (logframe/results framework) defining project outputs and outcomes, as well as indicators against which these will be measured, and project activities. Our specialists will support you in drafting and finalising a project or programme document outlining project background, problem and the proposed solution.

Drafting, review, revision,
finalisation of concept note &
proposal narrative

Our proposal writers will work with your project and/or country team to develop or revise a concept note and a proposal narrative to be submitted to potential donor(s). Our specialists will study donor requirements, and use relevant templates and guidelines. They will ensure that the narrative is aligned with the Theory of Change and logical framework, responds to the findings of the needs assessment and context analysis, and is accurate, consistent, and clear.

Our specialists can also review an existing concept note or a full proposal, provide expert feedback, and revise as needed. Technical experts can be engaged to review the language and terminology with regard to any technical, thematic, and/or regional specificities.

Once all the components of a proposal package – proposal narrative, logical framework, budget, and others – are in place, we will review the package to ensure that the components are well aligned, correspond to the donor requirements, and are ready for submission.

Preparation & review of proposal packages prior to submission

Development of proposal writing templates & other resources

If you wish to improve your internal resources, our specialists will help develop or adapt tailored proposal writing templates, guidelines, checklists, or other resources. The resources can be adapted for a specific project or programme, or used across the organisation.

To build and improve your team’s capacities in project or programme design and proposal writing, we will design and deliver a targeted training with practical insights, tips, and tasks. The training sessions can take place in-person, online or in a hybrid format, followed by one-to-one mentoring as applicable. Inquire to learn more.
